Job Summary:
The HRIS Specialist is responsible for the day-to-day operation and maintenance of the organization’s HR information system, ensuring data integrity, troubleshooting system issues, and supporting users. This role involves managing HR data, improving system processes, and providing technical support to optimize the efficiency of HR operations.
Key Responsibilities:
- System Maintenance and Administration:
- Manage and maintain the HRIS, ensuring it is up to date and running efficiently.
- Conduct regular audits of HRIS data to ensure data integrity and compliance with company policies.
- Implement updates, upgrades, and enhancements to the HRIS based on business needs and technology advancements.
- Data Management and Reporting:
- Maintain accurate employee records within the HRIS, ensuring data accuracy and consistency.
- Generate reports, metrics, and dashboards from the HRIS to support HR and business decision-making.
- Develop custom reports and provide insights into employee data, such as turnover, demographics, and performance trends.
- System Optimization:
- Analyze current HRIS functionalities and processes, making recommendations for improvements to better meet organizational goals.
- Collaborate with HR and IT teams to implement system enhancements and modifications.
- Ensure proper configuration of system settings, workflows, and permissions to streamline HR processes.
- User Support and Training:
- Provide technical support to HR staff and other system users, troubleshooting issues and resolving system-related inquiries.
- Train HR staff and end-users on system features, workflows, and best practices.
- Develop user guides and training materials to improve system usability.
- Compliance and Security:
- Ensure that the HRIS complies with legal, regulatory, and company standards, especially regarding data privacy and protection.
- Support system security settings, including user access and permissions, ensuring data confidentiality and integrity.
- Collaboration and Project Management:
- Work closely with HR, IT Applications, and other departments to ensure seamless integration of systems and data flows.
- Lead or participate in HRIS-related projects, including system upgrades, integrations, and the implementation of new modules.
Qualifications:
- Bachelor’s degree in Human Resources, Information Technology, Business Administration, or a related field.
- 2-4 years of experience in HRIS administration or a similar role.
- Proficiency in HRIS platforms (preferred in SAP SuccessFactors).
- Strong understanding of HR functions and workflows.
- Experience with HR data analysis and reporting.
- Excellent problem-solving skills and attention to detail.
- Ability to manage multiple projects and priorities in a fast-paced environment.
- Strong communication skills and the ability to train and support users.
Preferred Qualifications:
- Experience with SAP SuccessFactors (or another specific system used by the organization).
- Knowledge of HR compliance and regulations (e.g., GDPR, HIPAA).
- Advanced Excel skills and familiarity with data analytics tools.
