The Senior Manager, Contract Management serves an integral contributor working cross functionally in the Contract Lifecycle Management team with responsibility for managing the contractual negotiation, execution and management of assigned accounts in adherence to the policies of the commercial contract management team within the Contracts Department.  In addition, it is important that the Contract Manager foster great partnerships with Business Stakeholders. The Contract Manager is responsible for the contract maintenance of information shared between Hikma’s Internal Business Partners and External Distribution Channel partners.  Timely and accurate communication of this information is critical to Hikma’s compliance with the terms and conditions of the agreements.

 

Responsibilities: 

  • Oversee, lead, and facilitate the Contract Negotiation Process with white glove service by monitoring established Service Level Agreement (SLA) are being met.  Coach and provide guidance on the interpretation of the contract language and act as a Subject Matter Expert (SME) for contract drafting and redlining. Assist team with recommending alternative language when necessary to mitigate company risk. Collaborate with Business Stakeholders on contract negotiations and oversee the review and redlining of business and financial terms. Work with Legal and Senior Management. Oversee that appropriate training/education is conducted with Business Stakeholders on changes to the Contract Negotiation Policies and Procedures.  Participate in Offer Development and Account Management Contracting strategy discussions to positively impact sales and customer satisfaction. Attend the weekly Contract Management Meeting and review Contract Trackers to ensure SLA are met. Oversee the building and maintenance of the Contract Template Library.

  • Suggest edits to the T&C templates to the AD as needed to ensure the template is current with times and serves the best interest of Hikma.

  • Manage legal resources for a timely response of legal’s review for a customer agreement(s) under the purview of the Senior Manager, Contracts Management.  Discuss reoccurring legal timeliness issues with the AD.

  • Lead/Support Management by identifying departmental training needs within the Contract Team.  Schedule appropriate training sessions communicating the meeting Purpose and Agenda and provide applicable training materials and/or Work Instructions.  Develop Standard Operating Procedures and Work Instructions to improve employee onboarding experience.

  • Lead and coach direct reports on the broader contracts team.

  • Leverage contract and customer templates.  Focused effort on continuous improvement of templates with standardization.  Maintain templates in repositories and conduct change management on updates.  Monitor use of templates and address non-compliance.

  • Lead Contracts Metrics Process. Collaborate with Management to identify Key Performance Indicators (KPIs) including creating and managing trackers.  Prepare monthly and quarterly KPIs that monitor contract negotiation cycle times, provide insight to Business Units, CRM Opportunity Volumes and Work Processes.  Ensure all Contract Trackers and Contract Systems (Vistex, CRM, etc) are updated by Service Level Agreements (SLA), address all performance issues to drive accuracy and completeness of KPIs.  Present to Contracts Team and Management on a monthly and quarterly basis. 

  • For Contract Maintenance in Revenue Management System, Review/approve change requests; Monitor, evaluate, and address completeness, timeliness, and accuracy.

  • Ensure file retention of contract supporting documentation for all contract changes in Revenue Management System during the Contract Maintenance process to support external and internal audits.

  • For Trade Notifications, monitor, evaluate, and address completeness, timeliness, and accuracy.

  • For Wholesaler Trade Agreement Acts Certification Process, monitor, evaluate, and address completeness, timeliness, and accuracy.

  • Analyze current contract processes and identify process improvements that reduce waste (steps), eliminate errors, increase productivity and improve cycle times resulting in customer satisfaction. Create a formal process improvement plan that defines the objectives, responsibilities, creation of documentation (SOP, Training Material, Work Instruction, etc.), responsibilities and timelines. Provide status to Management.

  • Support company acquisitions specific to the Contracts Administration integration process.

  • Assist in identifying business user requirements for system enhancements, perform User Acceptance Testing (UAT) and regression testing for enhancement implementation.

  • Support Internal/External Audit Process.  Assist Management with gathering and providing supporting contract documentation to complete the audit by required deadline.

  • Demonstrate and monitor for strong demonstration of Leadership Skills that encompass Open Communication and Feedback, Critical Thinking, Creativity, Positivity, Flexibility, Conflict Resolution and Reliability. 

  • Lead or Support Special Projects communicated by management.

  • Be a positive influence to foster a culture of collaboration, accountability, and continuous improvement within the Commercial Operations function.

  • Demonstrate ability to influence direction and/or decisions without the need for hierarchy and authority.

  • Develop and drive policies, procedures, and best practices to ensure compliance and consistency.  Manage the DSA creation and amendments and ensure ongoing compliance of requirements and conditions.

  • Support the implementation of contract strategies and contracting platforms, including bid processes and negotiations.

  • Complete quarterly accomplishment report based on the AD template and submit to the AD.

 

Qualifications:

  • Proven ability to successfully manage competing priorities, meet challenging deadlines, and work cross functionally.

  • 8 years preferred

  • Bachelor’s degree or higher preferred

  • General knowledge and understanding of pharmaceutical company processes including contracts interpretation/implementation, chargeback adjudication and rebates processing Experience in standard industry system environments specifically SAP, and Revenue Management Solutions (i.e. Vistex, ModelN, iContracts) preferred

  • Strong knowledge of SAP & Revenue Management System (i.e. Vistex, Model N, etc.) preferred
